Indian Institute of Management, Nagpur is looking for a qualified & experienced Administrative Assistant for the efficient and effective office administration of the Director’s Office.

Position: Administrative Assistant – Regular

Qualification and Experience:

  • Applicant should have a Post-Graduation degree/diploma preferably in Management/Arts/Commerce with minimum 60% marks.
  • 5 years of overall work experience out of which minimum 3 years in office administration and secretarial services, preferably in education institution or a large organization assisting a senior level leadership position.
  • Hands on experience working on MS Office Suite. Related certification will be preferred.
  • Excellent communication and interpersonal skills, multi-tasking abilities, organizing resources and establishing priorities including the ability to interact with senior leadership.
  • Experience of working at IIMs/IITs/NITs or any other premiere education Institution will be an added advantage.
  • Quick learners from varied domains who are passionate for administrative fields and are ready to learn and adapt to the new eco system are also encouraged to apply.

Key Skills:

  • Excellent command over MS Office (Excel, Word, and PPT), proficiency in Advanced Excel functions.
  • Superior data management skills & analytical mindset.
  • Ability to gather data, compile information, and prepare reports.

Job Responsibilities:

  • Scheduling and managing the Appointment Calendar of the Reporting officer.
  • Managing correspondence & replying of the e-mails related to the designated position and office.
  • Planning & scheduling various meetings and end-to-end meeting arrangements.
  • Preparing Agendas/Minutes of Meetings/ Write-ups/Notes/Presentations/Briefs etc.
  • Co-ordination and communication with internal stakeholders like faculty, staff, students as well as external stakeholders for the smooth functioning of the office. To represent the Institute & Director’s Office with proficiency & professionalism.
  • Organizing and maintaining files, records and documents related to institute’s MoUs, PR, and database for National/ International collaborations in both physical and digital formats.
  • Maintaining records for annual accounting and preparing an annual budget for expenses pertaining to the Director’s Office.
  • Maintaining records of audit committee meetings, statutory audit meetings and quarterly CAG audits as per guidelines.
  • Assisting in preparing reports, presentations, and other materials as needed.
  • Providing administrative support for BoG meetings, Academic councils, other statutory and monitoring meetings, conferences and events.
  • Replying to Ministries/Management division/RTI on behalf of Director by taking inputs from Director & other Competent authorities.
  • Ensuring confidentiality & control of movements of documents from Director’s Office with discretion and professionalism.
  • Travel management – booking, tracking and billing for travel and accommodation requirements of institute officials.
  • Performing other administrative tasks as assigned from time to time.
  • The candidate may be deployed to any of the Administrative/Academic departments of the institute depending on the requirement.

Age: Not exceeding 35 years as on last date of application.

Salary & Benefits: Selected candidate will be offered a Regular appointment at appropriate pay level based on qualification, relevance of experience and suitability for the role as per 7th Pay commission with an initial probation period of 2 years. In addition to this the perks & allowances will be paid as per Institute norms.
